I'm Greg Rolen, owner of Rolen Inspections, LLC. Protecting the personal details you share with me matters, whether you're just browsing my website or booking an Olympia rental inspection for your property. This page lays out what information I gather, why I gather it, and how I keep it safe.

What Information I Collect

I collect information you choose to give me when you:

  • Fill out a booking or contact form

  • Reach out to schedule a rental registry inspection

  • Ask a question about pricing or availability

  • Call, text, or email me directly

That typically includes your name, phone number, email, and the property address for the unit being inspected - along with anything else you choose to include in a message to me.

My website also picks up some technical details automatically, like your IP address, browser and device type, which page sent you to my site, and how you moved around it.

How I Use That Information

Everything I collect goes toward getting your rental property inspection done right. Specifically, I use it to:

  • Get back to you when you reach out

  • Lock in, confirm, or adjust your appointment

  • File the completed inspection paperwork with the City of Olympia

  • Handle payment for the inspection

  • Send you appointment reminders and status updates

  • Make my website and booking process work better

  • Meet state licensing rules and city reporting requirements

I only put your information toward the purposes above. I don't sell it, and I won't use it for anything unrelated without asking you first.

Cookies and Site Tracking

My website runs on Wix, which uses cookies to help the site function properly and to give me a general sense of how visitors use it. Some of these cookies are required for the site to work at all; others just track traffic patterns.

You're free to block cookies through your browser, though a few site features might not work as smoothly if you do.

Outside Vendors I Work With

To run my business, I lean on a few outside services - my website host (Wix), a payment processor, and scheduling software. Each only gets the specific information it needs to do its job, nothing more.

If you click a link to a third-party site from mine, that site's own privacy practices take over, so it's worth a quick look at their policy too.

How I'll Contact You

Expect emails or calls from me about your appointment - confirmations, scheduling changes, and notice once your paperwork has been filed with the City. If you've opted into any general updates, I might reach out occasionally about availability or service changes.

You can tell me to stop anytime. That said, I'll still send anything tied directly to an active or completed inspection, since that's part of finishing the job.

Keeping Your Data Secure

I take reasonable, sensible precautions to keep your information safe from unauthorized access or loss. That said, no online system is ever 100% bulletproof, and I can't promise absolute security - nobody honestly can.

How Long I Keep Your Data

I hold onto your information only as long as I need it to complete your inspection, satisfy the City's rental registry recordkeeping rules, and meet my own tax and legal obligations. Once it's no longer needed, I take steps to delete or de-identify it.

Your Rights Over Your Data

Depending on where you're located, you may be able to:

  • Ask what personal information I have on file for you

  • Request a correction if something's wrong or outdated

  • Ask me to delete your information, where the law allows it

  • Opt out of anything beyond essential service communications

A Note on Children

My services are built for landlords and property owners - adults, in other words. I don't knowingly collect information from children, and my site isn't directed at them.

Links to Other Sites

You'll occasionally find links on my site pointing elsewhere, including the City of Olympia's website. Those sites run independently, with their own privacy rules, and I'm not responsible for what happens on them.

Updates to This Policy

If I make changes to this policy down the road because my process changes or the law requires it, I'll post the update here with a new effective date.
